Recording an animal sale or gift

Record a transaction from the animal's card using Sell / gift. This action differs from Mark for sale: the mark only indicates that the animal is being offered, while the record logs a sale or gift.

Marking an animal for sale

Use Mark for sale to add a visible flag to the card. You can remove it at any time with Remove sale mark. The mark itself does not change the animal's status or its place in the records.

Recording a sale or gift

When recording a transaction, choose whether the animal is being sold or gifted, enter the date, and select the recipient. You can choose an existing customer, create a new one directly in the form, or select a Herpadex customer. A new customer's name is required; a company also requires its registration number. Other contact and address details are optional.

For a Herpadex customer, enter the recipient's eight-character account code or tap the QR icon next to the code field. You can scan the QR code in the native Android app or in the web app opened in a browser on iPhone or iPad. The app checks the scanned code and shows only the details the recipient has allowed to be shared for a transfer. The customer is added to your records, or their details are updated, only after the record is saved successfully.

Once a Herpadex customer has been found, Transfer animal is selected by default. After saving the record, the app creates a transfer for the recipient. You can turn the option off before confirming. If the transfer cannot be created, the sale or gift remains recorded and the app shows a separate notification.

After saving, the animal is marked Sold or Gifted, depending on the selected type. It remains available in the list and on its card, but no longer counts toward the active animal licence limit. The card shows the date and recipient.

Cancelling a sale or gift record

Cancel a sale record from the animal's card using Cancel sale. Cancel a gift record using Cancel gift. If the animal transfer is awaiting a decision or was rejected, the app first removes the transfer and then cancels the record. The animal returns to normal active status. If the customer was created only for this record, the app removes that customer automatically.

Once the recipient accepts the transfer or the transfer is completed, the record can no longer be cancelled. The action on the animal's card is disabled and the app explains that the transfer has already taken place.

You cannot mark a deceased animal for sale or record a sale or gift for it.

Accepting an animal transfer

Incoming transfers are available under Sales → Transfers. For a transfer awaiting a decision, you can accept or reject it. When accepting, choose an active location for the animal. The animal is added to your records only after the transfer finishes successfully.

The transfer includes the animal's species details, date of birth, sex, CITES information and parent links. It also includes records from the animal's Health card, such as health cases and their history, weights, measurements and sheds. Quarantine records, photos, documents and other attachments are not transferred.

You can return a rejected transfer for another decision later. The original transfer is reopened, so you can accept or reject it again.
